Executive Assistant (80 - 100%)
Zürich / Gotthardstrasse 43In this role, we are looking for an organized and reliable Executive Assistant who will support the Head Client Solutions & Distribution (CSD), Private Clients and will have direct exposure to international business situations and to a wide range of counterparts.
What would your role be?
Independently and professionally manage the secretariat of the Head CSD and support him in his day-to-day business by thinking independently and with foresight.
Manage the demanding agenda with overview and care, taking minutes during meetings but also planning and coordinating internal and external meetings, townhalls, offsite workshops, and other special events and ensuring structured and timely follow-ups.
Support selected Business Management tasks beyond the classic Executive Assistant role (e.g. creating strategic management documents and presentations, consolidation of financial data from various stakeholders etc.)
Manage other general administrative tasks (e.g. checking and allocating invoices, accepting expenses) efficiently and critically and plan and coordinate business trips, including booking of hotels, flights, restaurants and meetings.
Handle internal and external correspondence in German and English on a high professional level.
Act as a trusted point of contact for internal and external stakeholders, always ensuring professional representation of the Head CSD.
What are we looking for?
Similar experience, preferably within an international company in the financial industry (Asset Management, Investment Banking, Private Banking, Insurance).
Minimum of 3 years’ experience as an executive assistant
Excellent organizational and prioritization skills with the ability to manage a demanding agenda
High level of discretion, reliability and a service-oriented mindset
Ability to provide support for Business Management tasks
Commercial training or similar, ideally supplemented by further training as an executive assistant and/or assistant; a bachelor’s degree is a plus.
Excellent MS Office skills (Word, PowerPoint, Excel, Outlook) and familiarity with modern communication tools.
Excellent written and spoken German and English skills and the ability to communicate with stakeholders on all seniority levels are a must.
Experience working in a fast-paced environment.
