Administrative Account Officer Milano

What would your role be
Accounting & Financial Coordination
Act as the main point of contact for accounting-related matters between the Milan Branch, Vontobel Finance Hub in Zurich, and the external Italian accounting service provider
Coordinate and oversee the delivery of local accounting and financial administration activities performed by internal and external stakeholders
Ensure compliance with Italian accounting requirements and alignment with Vontobel’s internal accounting policies and governance framework
Coordinate statutory reporting requirements, financial documentation, and audit-related matters with relevant internal and external parties
Support the preparation and submission of required documentation for regulatory, tax, and audit purposes
Monitor the quality, completeness, and timeliness of accounting-related deliverables provided by external service providers
Branch Operations Support
Support the operational setup and day-to-day administration of the Milan Branch
Coordinate client onboarding, lifecycle management, documentation, and reporting activities with relevant stakeholders and ensure compliance with internal policies, procedures, and regulatory requirements
Manage administrative processes, including invoices, expenses, vendors, and documentation
Regulatory & Local Authority Coordination
Support relations with Italian authorities and external stakeholders
Coordinate responses to regulatory, audit, and advisory requests
Maintain regulatory and administrative documentation
Governance, Controls & Process Management
Support branch governance, procedures, and internal controls
Ensure proper documentation, record retention, and regulatory compliance
Identify process improvement opportunities and foster collaboration across Group functions
Stakeholder Management
Act as a key contact for administrative, accounting, and operational matters for the Milan Branch
Collaborate closely with Finance, Tax, Legal, Compliance, Operations, Risk, HR, and other Group functions
Maintain effective relationships with external accountants, auditors, consultants, and local authorities
What are we looking for?
University degree in Accounting, Finance, Business Administration, or a related field.
8+ years of experience in banking, financial services, accounting coordination, operations, or another regulated environment, including audit experience (ideally 5 years).
Strong knowledge of accounting principles, financial administration, banking operations, and administrative processes.
Good understanding of Italian accounting and regulatory requirements; familiarity with client onboarding, KYC/AML, and regulatory documentation is an advantage.
Experience working with external service providers and coordinating cross-functional stakeholders.
Excellent organizational, communication, and stakeholder management skills, with the ability to manage multiple priorities effectively.
Structured, reliable, and solution-oriented professional with a high level of integrity, discretion, and attention to detail.
Proficiency in Microsoft Office applications and banking systems.
Fluency in Italian and English; additional languages are considered an advantage.
